Courtyard & Village Apartment COVID Testing Move-In Reminder

Dear Residents of the Courtyard and Village Apartment Complexes:

As you are aware, all residential students are required to provide a negative COVID-19 test prior to moving back in for the spring semester. We will need to confirm you have provided this information before you move into your apartment. As such, we ask that when you arrive on your move-in day that you first come to your Community Building to check in. Thank you for your cooperation.

If you have not done so already, please remember to sign up for a date and time to move in during the scheduled move-in dates of January 27-30. Information regarding the sign-up process was sent to you previously.

Spring 2021 Move-In

Dear UNCP Residential Student:

We look forward to your return or your arrival for the first time as we begin the Spring 2021 semester! As you already know, classes will begin on January 19, 2021. Given this start date, along with safety and health protocols we are putting in place during the move-in process, will change how you will be moving into your residence hall this spring.

We are planning a safe, coordinated, and organized residence hall move-in process. While this process is different than what our returning students have experienced in the past, we planned this process with the first thought being safety for everyone.

Please read this message thoroughly, including the requirements that you must complete prior to moving in, that are listed below.

Each student will sign up for a 90-minute block of time to arrive on campus. In early January, you will receive an email with a link to sign up for a move-in date and time between January 13-16, 2021. These are the only dates available for residence hall move move-in. Only a select number of blocks of time will be available each day. Once a block is filled, it will no longer be available and you will need to choose another block.

Given our health and safety protocols, no early arrival move-in dates will be approved, nor will any move-in times be available on January 17 and 18. Be aware that if you show up on a date and time outside your assigned move-in date and time, please plan on either going back home or staying in a hotel.

When you arrive at your residence hall on your scheduled date and time, please be aware of the following measures that will be in place to minimize the risk of virus transmission:

  • You MUST provide proof of a negative COVID-19 PCR test taken within 3-5 days prior to moving into your spring housing assignment. You will NOT be allowed to move into your spring housing assignment without this proof.  Please see the TESTING section of the ‘Healthy Braves, Safe Campus: Navigating COVID-19, Spring 2021’ for more information.
  • Masks will be REQUIRED (please arrive already wearing your mask before stepping out of your vehicle);).
  • Only two (2) helpers per student will be allowed (helpers will have their temperature checked and answer a few medical questions prior to being able to enter any residential facility);
  • Only one (1) vehicle per student;.
  • NO volunteers will be present to assist moving in belongings (you will need to move your own belongings);
  • One-way flow of traffic into and out of each residence hall (there will be only one entrance and one exit per building);
  • Stairwells will be one way (buildings will have an “up” stairwell and “down” stairwell);
  • Elevators will only be used to go up (you will need to walk back down); and
  • Please consider limiting, as best able, the number of belongings you bring to campus.

Please remember, the link to sign up for a move move-in date and time will be sent to you in early January, and all residential students MUST show proof of a negative COVID-19 PCR test taken 3-5 days prior to your move-in date.

Thank you and we look forward to seeing you on campus soon!

Spring 2021 Check-Out Information (as of January 2021)
On-Campus Student Housing Closes Saturday, May 22 at 3:00pm

As a resident, you have two options for check out. Please note the information and procedures listed below for each option.  Once you have made your choice,  follow the appropriate steps to complete your check out. Note that failure to follow the procedures below may result in additional charges.  If you have questions, please see your Resident Adviser or Community Director.

 OPTION 1:  EXPRESS CHECK-OUT

Use this option only if:

  •  There are no damages in your room/suite/apartment
  •  You do not have concerns about cleaning charges

This option allows you to leave as soon as you are finished with your exams. The RA will conduct a damage/cleanliness inspection after you leave. If you utilize this option, you will be required to sign a statement waiving your right to appeal damage charges.  Follow the steps below to complete an express check out:

  • Beginning of Exam Week, go to your residence hall receptionist’s desk (Village to the community building office and Courtyard to their main office) between 10am and 10pm to receive an Express Check-out Envelope.
  • Move out your belongings, clean your room thoroughly, and then lock the door on your way out.  Note this must be done within 24 hours of your last exam.
  • Place your room key in the envelope and seal it.  Return the signed envelope to where you initially received the express envelope between 10am and 10pm.
    Make sure the envelope is sealed properly!

OPTION 2:  PERSONAL CHECKOUT BY APPOINTMENT

You must sign up for your appointment during Exam Week – May 3 thru May 8!
Schedule a 15-minute checkout appointment with your RA. Each RA will have a posted appointment schedule for exam week on their room door.  Failure to schedule an appointment may delay your checkout or result in an improper checkout fee in addition to any charges for damages/cleaning. Residents will submit their key and form to the live-in staff.

Important Notes About Check-Out

  • All roommates must thoroughly clean the room.  Follow the checklist below in order to minimize the charges. Your room has to be in the same CLEAN condition as it was when you moved in.  If your room is not clean you will be assessed a charge!
  • Begin discarding some unwanted items you have accumulated throughout the year. For convenience and safety of others, keep all debris and belongings out of the hallways and suite lounges.
  • Recycle bins for clothing will be available in the hall lobbies/community buildings during Exam Week.
  • Containers for electronics; single stream containers for paper, cans, glass, and cardboard; and dumpsters for unusable and damaged items will be outside near all residential communities during Exam Week.
  • Unless one resident accepts responsibility, damage and cleaning charges will be divided among all occupants.  In addition, the last resident to checkout will be responsible for all damages or missing items not already accounted for.  Please communicate with your roommate(s) concerning any pending damages.  Decide on responsibility now, or be present at the checkout of your roommates.

Check-list for Check Out/Room Cleaning:

This checklist is provided to make your checkout as smooth as possible.  Following this list may help you avoid unnecessary charges for cleaning and damages.

  •   Remove all personal belongings from the room!
  •   Remove all posters, decals, tape, poster putty, etc. from doors (inside and out), walls & mirrors
  •   Clean closets, cabinets – dust shelves, etc.
  •   Clean windows and window sills, and mirrors
  •   Dust all furniture including desk tops, dressers, shelves, and countertops
  •   Clean and wipe out drawers in desk and dresser
  •   Return all furniture to its original position in the room (unbunking beds not required)
  •   Sweep/mop/vacuum floor throughout room or apartment
  •   Take out all trash, (please take to dumpster if receptacles are full)
  •   Where applicable, empty and clean all kitchen appliances and counter tops, clean bathrooms, living room, and sun room

Once you have completed all of the above items, you are ready for check-out!  Go to your RA at your established check-out time and have your room inspected for damages or turn in your Express Check-Out Envelope.

If you have any questions or would like to find out exactly what you are responsible for in your room, please contact your RA or Community Director!
