Outlook 2007

Starting in the summer of 2008, DoIT will implement a new e-mail environment, along with a migration to Microsoft Exchange Server. Many staff members will begin using Outlook 2007 on their desktops, and webmail will be replaced with Outlook Web Access. Some of the exciting new features include:

  • Expanded calendar features - including sharing and overlay (See details below)
  • Virtually no difference between interfaces – Outlook vs. Outlook Web Access
  • Access to address books, contacts and calendars from any computer with an internet connection
  • An easy to use Out of Office Reply tool
  • Better functionality between the server and the client

There are instructions below to help make this transition an easy one for users. As always, contact the helpdesk for additional help or training.

* Mac users: Please continue using Entourage as your e-mail client and Outlook Web Access as a webmail program.

Tips for Outlook 2007 Calendar

I. Sharing an Outlook Calendar

  1. When sharing a calendar, an e-mail will be automatically created.
  2. Click the "To:" button to choose the individuals you are sharing a calendar with.
  3. Choose names from the list instead of typing their names in.

II. Viewing Public Calendars

  1. In the Calendar section of the navigation bar, find the calendar by clicking on the folder icon at the bottom of the navigation bar.
  2. Drill down to Public Folders - All Public Folders – Your Department Name.
  3. Find the calendar you want to add.
  4. Right-click the calendar and select Add to Favorites.
  5. Find the calendar under Public Folders – Favorites.
  6. Double click.
  7. When you go back to the Calendar section of the navigation bar you will see this calendar under “Other Folders”.

III. Deparmtment Calendar

Each department will be set up with public calendars for away-from-office, travel, and conference rooms. The department chair will decide who manages the calendars. Other calendars, if needed, can be created and shared by each individual. It’s best to keep the number of calendars to a minimum. Multiple calendars can be seen at once, and even overlaid (open all calendars, then click on the arrow on the upper left-hand side of the calendar window) to see multiple schedules at once.
