Early Warning System

The Early Warning System is a rule-driven communication tool that sends email messages to Students and their Observers when the criteria for the rule is triggered. Rules can be based upon a test score, a due date, or Course access. Each notification message is fully customizable. A notification log is created for each student who receives a Early Warning message.

Using the Early Warning System

Rules can be created, edited, and deleted from this page. Once created, Rules can be made Unavailable or Available. Click the Name of the Rule to display a detailed view of each student's status in relation to the Rule as well as their Last Notification Date.

Refreshing Rules

Rules do not continually run in the background checking for new events. Regularly refresh the Early Warning System to run rules and check for events that will trigger a warning. If there are many rules, it will take the system time to run them. An email notification is sent when the operation is complete.

Finding Rules

Use the Search function to locate Rules. Use the Name drop-down list with the text field, and the Availability drop-down list to set search criteria for locating Rules.

Grade Rules

Grade Rules are based on a defined score for any grade item in the Grade Center. Students who score above or below the defined threshold for a specific grade item trigger the notification system. Instructors can then send an email message to the Students, their Observers, and others.

• Rule Information
  Enter a Name for the Rule. Use a descriptive name to ensure the Rule can be identified from the list Early Warning System Rules. Make the Rule available or unavailable.

• Rule Criteria
  A Grade Rule is made up of the following criteria:
  
  
  • Select a Grade Center Item: The points possible for each Grade Center Item appears in parentheses. Use the points possible to determine what to enter in the Score field.
  • Define Criteria: Select a condition for the grade score: less than or equal to, equal to, or greater than or equal to.
  • Score: Enter the threshold score that triggers the Rule for notification to be sent.

Last Access Rule

Last Access Rules are based on the date users last accessed the Course. Students who have not logged in for a defined number of days trigger the notification system. Instructors can then send an email message to the Students, their Observers, and others.

• Rule Information
  Enter a Name for the Rule. Use a descriptive name to ensure the Rule can be identified from the list Early Warning System Rules. Make the Rule available or unavailable.
  
  
• Rule Criteria
  Enter a number in the Days Since Last Course Access field.
  
  

Due Date Rule

Due Date Rules are based on a defined due date for an Assignment, Test, or Survey. Due Date Rules cannot be created for manually graded items. Students who do not complete an Assignment, Test, or Survey by the due date trigger the notification system. Instructors can then send an email message to the Students, their Observers, and others.

• Rule Information
  Enter a Name for the Rule. Use a descriptive name to ensure the Rule can be identified from the list Early Warning System Rules. Make the Rule available or unavailable.
  
  
• Rule Criteria
  A Due Date Rule is made up of the following criteria:
  • Select a Grade Center Item: Only Assignments, Tests, and Surveys that have a due date will appear on the list. The due date appears in parentheses.
    
  • Specify Attempt: Select either the First Attempt or Last Attempt for Rule evaluation. Only items that allow multiple attempts are affected by this setting. Single attempt items are not influenced by this setting.
    
  • Define Criteria: Determine how the due date is used by choosing either earlier than or later than.
    
  • Date Offset: Enter a value in positive integers for how many Days After or Days Before the Due Date to apply the Rule. Adding a Date Offset can take into account a grace period, or other date driven means to notify Students of a pending or past due Assignment, Test, or Survey. Select Do not apply offset to send the notification on the Due Date itself.
