Academic Support Services Subcommittee Report

Media Center

November was a very productive month for Media Services. Arrangements have been made to have Sampson Building completely checked out during the Christmas Break and hopefully will be up and running by Jan. 14, 2010.

We have finished the six classrooms in Oxendine Science building on the third floor. The room numbers are 3202, 3235, 3246, 3248, 3256, and 3231. These rooms were rewired to accommodate new LCD projectors and 85 watts of audio in each of these rooms. We have moved down to the second floor and have began to rework 2239, 2240 and 2202 with the funding being provided by the Media Center and DoIT, many thanks again. We plan to have these rooms finished by Jan. 2010. We are also working with a contractor over in this same building to combine rooms 2250 and 2252 into one classroom that includes rewiring and replacing all existing items in this room. The new room will include a Star Board, White board, LCD projector, remote control pixie and audio.

Work has also begun in Dial 153; this room was previously a Spanish Lab and with the monetary help of the English department is now being turned into a regular classroom.
We have also begun working in Jones building on the two conference rooms that are being turned into learning labs for the students.

The Media Center received and completed 47 mail submission work requests for the month and assisted with 27 workshops/meetings on campus and provided support to 8 events in GPAC, 3 at ComTech and 1 at SREMC. We scheduled and recorded 11 sessions for the counseling students and 6 for the Social Work majors.

Applications Development

ADS continues to support numerous projects and respond to service requests. Below is a list highlighting activities for the month of November 2009.

• Payroll Project – UNCP completed its second month of biweekly payrolls for student employees. The project team continues to resolve issues with the biweekly process and test monthly payroll processing for regular and temporary employees. The Applications unit continues to provide technical support for the project, including reporting, management of virtual environments, database administration and hosting, etc.
• CBORD Housing Management System Project – Applications kicked off the CBORD HMS project with Residential Life and Housing, Business Services and the Bursar’s Office. DoIT is providing project management, hosting and integration services for this project.
• School of Business Online Course Application – Applications took the Online Business Course Application project live in late October, and completed the project in November. During the first six weeks, the system collected 278 applications.
• CoursEval – Applications completed the implementation of CoursEval for evaluation of Distance Learning courses.
• Banner Cashiering – Applications began working with the Bursar’s Office to research migration from a legacy cashiering application to Banner cashiering.
• DARS – Applications resolved an issue in DARS that incorrectly indicated that many students who had passed the Speech Test needed to take a Speech class.
• 1098 T Outsource Project - Applications began working with the Bursar’s Office to set up an FTP process for moving IRS 1098 file to vendor’s site.
• Financial Aid Reconciliation Project – Applications kicked off the Reconciliation project with the Financial Aid Office. The intention is to improve data quality in Financial Aid by proving procedures and reports to reconcile Banner with off-campus data sources.
• Financial Aid/Bookstore Project – Applications began design discussions for an enhanced interface between Banner Financial Aid and the Bookstore system.

Associate CIO - Tom Jackson facilitated a number of projects during November and engaged in a number of strategic related activities to better position DoIT to meet institutional needs.

• Security Education Program - Participated in the development of the university’s Security Education Program.
• Virtual Computer Lab – Participated in preparation and rollout of the VCL.
• Unified Messaging – Participated in preparation of plans to rollout Unified Messaging.
• Multifunction Printing Project – Participated in the continued planning for managed printing via multifunction devices.
• Kiosk Machines/Generic Accounts Planning – Participated in the planning for deployment of kiosk machines in various departments.
• Network Design Project – Participated in planning for the re-design of the university network.
• BraveWeb Mobile Project – Participated in the research and design of mobile access for BraveWeb.  Configured a virtual server to support the project.
• Jabber Instance Messaging Project – Participated in the planning for the Jabber IM project.  Configured a virtual server to support the project.
• Math and Computer Science Database Project – Provided guidance of student’s developing a class database project.

Client Services

The Helpdesk, BraveTechs, Classroom and Lab support, Training, and other Client Services continue to address campus technology support needs while implementing new services.

• VCL:  The Virtual Computing Lab was introduce to the campus via emails and seven training sessions. Webpages and a PowerPoint presentation have been made available to assist in accessing the technologies (see www.uncp.edu/doit/vcl/). VCL Team members who made this possible, along with guidance and assistance from NCSU, are Daryl Burgwyn, Liz Cummings, Mike Pruitt, Rob Hughes, Tom Jackson, Yoshi Guy and Cindy Saylor. Software available for use via the VCL includes the following:

During the first week of December, 7-10 additional applications will be added to the software listing: CS3, TimeLiner, Geometer’s Sketchpad, Fathom, Probability Explorer, TI Smartview Emulator, Mathematica and possibly Google Earth.

• Security Training for UNCP: Melanie Jacobs, Tom Jackson and Cindy Saylor continue to work to create a security training module which will be mandatory for the campus community to attend. The security training will effectively inform our campus about how to keep both technologies and data secure, by explaining both good practices and inappropriate technology behaviors. The timeline for rollout has been changed to late January-early February.

• Unified Messaging: Client Services and Networking are in the final testing stages to rollout Unified Messaging to the campus. The final testing should finish by December 18th and final review of the testing by December 22nd. The rest of the UM rollout should take place in mid-late January.

• Labs and Classrooms: Tab and Daryl are currently working on images for the spring semester and building maps within LabStats. They plan to add LabStats to the Library Lab and BA 210.

• Special Configurations: Mary and Chris (Networking) have been working to determine a supported NIC and utility that can be used in conjunction to the Wireless driver that will allow the HR laptops to Logon prior to establishing a windows OS.  

• Windows 2000 Update: Mary reports that all Windows 2000 PCs have been switched for Windows XP machines at all offsite locations.

• Warehouse Clean-up/Organization Update: Charles has been working very hard on cleaning up and organizing the DoIT unconditioned storage facility (warehouse). He has destroyed boxes of old, outdated software/OS; organized items by type, issues, etc.; created the paperwork to surplus; dispose of any materials that were not IT equipment, but not needed, and kept a record of his work. He has certainly made the area much neater and easier to maintain.
