Academic Support Services Subcommittee Report
Email systems:
On October 14, the old Webmail server, which was due for replacement, experienced a catastrophic failure due to a hardware problem. E-mail was restored for Outlook Exchange users the following day, and other faculty and staff were moved to Exchange on Friday, October 17. All students were moved to the new BraveMail on Thursday, October 16. Webmail services were restored the following week. Webmail has been back to full service.
Exchange accounts were created for all faculty and staff. As of October 31, 1,055 Exchange accounts have been activated. BraveMail accounts are set up for all students. As of October 31, 5,391 students have activated their BraveMail accounts. E-mail addressed to username@uncp.edu is delivered to both Webmail and BraveMail until the end of the fall semester.
Active Directory:
The Active Directory and file storage migration are in progress. A new data storage system, SAN, is currently being tested by transferring and backing up faculty and staff data from Novell eDirectory to Active Directory. The migration process is scheduled for completion by the end of June 2009. DoIT is beginning to work on a procedure to migrate student file services from snappy to the NetApp SAN.
Virtual server environment:
In October, Dell Corporation conducted an onsite planning assessment workshop for UNCP’s virtual infrastructure environments. A virtual server environment was deployed to enhance efficiency and productivity of the servers. Two blades and over a dozen virtual servers are now in operation, and two more blades schedule to be added over the next few months.
Budget:
DoIT is planning for a five percent budget reduction for 2008-2009 and a four to six percent permanent reduction for 2009-2010. Due to the austere fiscal circumstances, the environment system upgrade scheduled for the Oxendine data center has been put on hold. In cooperation with Facilities Management and Planning and Construction, DoIT is exploring options.
Banner 8.0 upgrade:
In October, the Banner functional offices completed testing of Banner 8.0, including all the modules. The Oracle upgrade will be done over the Thanksgiving break, and the Banner upgrade to 8.0 is scheduled to be immediately after final grades are submitted in December.
IT project management and request systems:
A new Interactive incident management system has been created to track information technology related projects and allows users to view and generate a report for each incident and its history. In addition, some of the paper-based project request forms were converted to Web-based electronic forms. The new forms allow department managers to submit and track a work order online, and enable DoIT to respond in a timely manner. This should tremendously improve efficiency and productivity, and also eliminate errors. Applications Development and Support (ADS) is currently testing the system.
Business Continuity Plan:
Data and text are being exported from the archived pdfs and the LDRPS database into Word documents. The documents will be delivered to each division and department to update the information.
Media Center:
In October, the Media Center supported 24 university events and programs, eight of which are held after 5 p.m. For three academic departments, 17 VHS tapes and 13 mini DV cassettes were converted to DVDs. Twenty-nine sessions were recorded for Social Work classes.
