Calendar. Updated January 29, 2008.

DESCRIPTION OF CALENDARS
- Master - lists
all events on the University Calendar. When Calendar Managers
add an event to other calendars in the University Calendar,
the event is automatically added to the Master calendar.
- Academic - lists
academic-related events, deadline, etc., such as the Academic Calendar.
- Administrative
- lists
academic-related events, deadline, etc., such as the end of the fiscal
year and Human Resources training.
- Alumni - lists
alumni-related events such as homecoming and chapter meetings.
- Arts and Entertainment
- list arts and entertainment-related events such as events at GPAC,
the Moore Hall Series, and Student Activities events.
- Athletics - lists athletic events
- Faculty and Staff - listed events and deadlines pertinent to faculty
and staff.
- Student Life -
list student life-related events, such as athletic events, and Student
Activities and GPAC events.
- Note: an event
should be added to all calendars to which it pertains.

ADDING EVENTS
- ALL CAMPUS
EVENTS ARE REQUIRED TO BE ADDED TO THE UNIVERSITY CALENDAR
- Campus managers
have rights to all calendars. No calendar belongs to an individual
department.
- However, only
athletic events are to added to the Athletic calendar. Also, only
the Director of Special Events should add events to the Chancellor's
calendar.
- When
adding an event, select the calendar(s) to which the event should
be added. (Ex. an athletic event could be added to the Athletics,
Alumni and Student Life calendars)
- All events are
automatically added to the Master Calendar.
- Events like Commencement
need only to be added to the Master Calendar.
- Event Titles
- Use
short event titles (if possible). (Ex. In title, refer to GPAC
as GPAC. In event description, state Givens Performing
Arts
Center.) A few exceptions: in event title, spell out Board of Trustees
and Board of Governors.
- Ex. GPAC
presents Spike Lee
- Use quotations
for play titles, not performers. Ex. “In The Mood” and
Spike Lee.
- If the event
is a workshop, include workshop in the title. Ex. Workshop: Beating
the College Blues.
- Athletics
- Women’s
Volleyball vs. Francis Marion (for home games)
- Women’s
Volleyball at Francis Marion (for away games)
- Event
Description
- Leave "Wrapped" selected. Do not select "Pre-formatted."
- Include
fee for admission (if any), other phone numbers (if necessary)
and who is
invited.
- Department
Names
- When
referring to campus departments/programs, refer to
them by the name in Appendix
A.
- Proper
Titles
- Use
Chancellor Allen C. Meadors (single), Chancellor
and Mrs. Meadors (couple)
and Dr. Tommy Hawk (Dr. is optional). Do not use Mr., Mrs. or Ms. before
name.
- Phone
numbers should use the area code and prefix.
Ex. 910-521-6000.
- Email
addresses should
use lowercase
letters. (Ex.
tommy.hawk@uncp.edu)
- Location
- Building/landmark
names: when giving the location of an event, refer
to the name of the building/landmark in Appendix B.
- When giving
the location or building and room number, use
building name in Appendix B and Rm. XXX. (Ex.
Old Main Rm. 256,
Chancellor’s
Dining Room in the University Center)
- Web
Address
- Ex. http://www.uncp.edu/gpac/
. Do not include index.htm
- Calendar
- Select the
appropriate calendar(s) while pressing the Ctrl or Shift keys.
- Don’t
forget to add Contact Person and Contact Email
when adding event. Add the actual contact person. Email addresses should
use lowercase letters. Ex. tommy.hawk@uncp.edu
- Color
schemes – use the following colors for certain
events.
- Dark Green – Chancellor’s
events
- Red – campus
closed due to holiday
- Dark Blue
- Human Resources' events
- Black – all
other campus events
- Event Change
Notification: each time the event is changed, an email
is sent to addresses added to this field.
- Policing the University
Calendar
- If you see something
that is incorrect or should not be on the University
Calendar, contact the division that added event.
- Duplication
of Events: check the calendar before adding events that may added
by other calendar managers.
- Check the
calendar weekly.
- Approve only
events for your department or division.
- Event
Submission Form (PDF - requires Adobe
Reader)
- Return

CANCELLED, POSTPONED OR RESCHEDULED EVENTS
- Do not remove
a cancelled or postponed event from the calendar.
- Change the title
to reflect the change. Add cancelled or postponed in all caps.
(Ex. Pembroke Day – POSTPONED)
- Change the description
(time, location, etc)
- Add rescheduled
event to calendar.
- Only exception
is a student organization meeting. Meeting may be deleted from calendar
and just rescheduled.
