Hotel/Motel Direct Billing

Business Services Policy: PC 03 96

Purpose: To better serve University departments and to accommodate their overnight guests.

Scope: Applies to all UNCP departments when proper approval has been received.

Policy: Direct billing is offered to all departments for University guests by a local hotel/motel with which UNCP has an agreement.

Procedures:
1.   Create hotel requisition on-line.

2.   Hotel requisition must include:
        a.  guest's name
        b.  purpose of campus visit
        c.  arrival and departure dates
        d.  number of room(s) required
        e.  special requirements, if necessary
 
3.  Get proper on-line University approval for the requisition.

4.  NOTE:  All hotel/motel purchase orders will carry the statement:  No long-distance phone calls, movies, nor meals may be charged to this room.  HOWEVER, if rooms are reserved for visiting entertainers and a contract exists stating that meals will be furnished (allowed),  this notation must be on the Hotel/Motel requisition and  a copy of the contract forwarded to Business Services.

Effective August 1, 1999,  UNCP's primary hotel is:

Holiday Inn Lumberton 101 Wintergreen Drive I-95 Exit 22 Lumberton, NC 28358

Daily Room Rate:   $59.75 plus 12% tax.

Requisitions must be submitted to Purchasing at least five (5) days in advance of the anticipated guest's arrival date.   Requisitions must include:

a. name of guest,
b. arrival and departure dates,
c. purpose of visit.

After Purchasing submits a purchase order to the Holiday Inn Lumberton, a reservation confirmation number will be returned to UNCP Purchasing.  Contact your "buyer" if you require the reservation confirmation number.

Denny's is located in the Holiday Inn Lumberton.  Ryans, Hardees, Waffle House, and Huddle House are in walking distance.  Just down the street are Ruby Tuesdays and Texas Steakhouse.  A gas station is across the street.
